• Payment Terms

    • Sessions must be paid for in advance, either at concierge or via PT by DD Subscription.
    • Top up sessions can only be purchased if you have a valid PT by DD Subscription.
    • New joiners choosing PT by DD over the £100 joining fee, who subsequently change their mind before commencing their sessions, will be required to pay the clubs joining fee.

    Expiry Dates

    • Pack sessions must be used within a certain number of days from pack purchase; 2 session joining packs expire after one month, 5 sessions for 4 one time PT offer expires after 84 days, 3 and 10 pack sessions expire within 84 days of purchase, 20 pack sessions expire within 168 days of purchase
    • PT sessions by Direct Debit are cleared down at the end of every calendar month – unused sessions cannot be carried into the next calendar month
    • PT by DD top up sessions expire 31 days after purchase
    • PT sessions are non-transferable
    • PT sessions will expire on membership end date if this is sooner than expiry dates noted above

    DD Cancellation Terms

    • One full calendar month notice and payment running from the 1st
    • Cancellation must be given in writing (email is fine)

    Session Attendance Terms

    • If you cancel a booked session with less than 24 hours’ notice, or fail to attend a booked session, you will be charged for the session or, in the case of PT by DD, the session will be mark as redeemed
    • If you’re late for your session, your session time will be reduced accordingly.  If you’re more than 20 minutes late for your session, the session may be cancelled and marked as redeemed
    • If for any reason we need to cancel your booked session with less than 24 hours’ notice, or your PT is more than 10 minutes late for your session, you will receive a replacement session free of charge
    • If your allocated Personal Trainer is; on holiday, absent, or leaves the business, the Fitness Manager will assist in allocating you an alternative suitable Personal Trainer to take over your PT sessions.

    Refunds

    • If you cancel your membership or your membership is terminated due to arrears, you will not be refunded for any unused sessions.
    • Class bookings at our clubs can be made through the Third Space app. Please ensure you always bring your card to check in, as this will give you access to the club.
    • Members are only permitted to book on to three activities in any one day.
    • Only one activity can be booked at the same chronological time, this includes overlapping classes and applies to waiting list spots as well as bookings.
    • Bookings open 48 hours before the start time of the gym visit or class.
    • We encourage you to arrive at your class 10 minutes before the start to get set up.
    • If you do not arrive at the studio before the class start time, your place may be given away to those on the waiting list.
    • When a class is full, you will be able to book onto a waiting list.
    • Spaces in class will be given out to waiting list members in order of arrival.
    • Due to popularity, for some classes we operate an overbooking policy to ensure we maximise all spots for everyone’s enjoyment. We do this by tracking historic no-show trends.
    • If you change your mind, cancellation is available up until 3 hours before the start of the class or gym visit. Late cancellation will be classified as a no-show.
    • If a place becomes available, you will be sent an email or push message on your phone, to say you have been moved into the class but can cancel if you choose.
    • If you move from the waiting list into a class, you will not generate a no-show or late cancellation notification.
    • Remember to check into the club up to 3 hours before the start of the class so you are logged as attended. You can always check you are marked as attended with the instructor either before or after the class.
    • If you fail to show up for three bookings within a calendar month, your booking rights will be automatically suspended for one week. You will be notified by email. This policy maximises the potential number of slots available to members.
    • We do not review or remove individual no-show notifications, so we would request that members do not challenge these. Contact the Group Exercise Manager at your club if you have reason to think that you should not have received a booking-rights suspension. Mitigating circumstances will be considered.
  • Ensure your membership is active, if you are not a member, or have cancelled your membership, you won’t be able to access the app.

  • No, please continue using your child’s physical membership card to access Little Space.

  • Yes, you will continue using facial recognition to gain access to our Mayfair club. Your digital membership card can be used to access all other clubs.

  • Please speak to our Concierge team in club, who will let you in manually.

  • No, when your digital membership card has been activated, your physical card can no longer be used to access the clubs. You can return your physical card to our concierge team to be recycled.

  • If you are using Samsung Wallet and want to download your digital membership card, you can switch your default Contactless payment service to Google Pay using the following steps:

    1. Go to Settings and tap Connections
    2. Tap NFC and contactless payments
    3. Tap Contactless payments
    4. Choose Google Pay as your default payment service

    To do this, open your membership card in your Apple Wallet and tap the information icon in the bottom right-hand corner of the screen. Toggle on ‘Suggest on Lock Screen’.

    1. INTRODUCTION AND DEFINITIONS In these Rules “the Company” means Third Space Holdings Limited (and all of its subsidiary companies trading as Third Space) which provides the Club and its facilities for the benefit of the Members; “the Club” means “Third Space”; “Member” means a Club Member; “Rules” mean the terms and conditions of membership set out below. It is a condition of membership that Members agree to pay the fees referred to in Rule (2.) and agree to be bound by these Rules. These Rules may be revoked, altered or added to from time to time by the Company, without prior notification to Members. Any such variations will be updated on the Club Rules on our website. The Company has created these Rules for the mutual enjoyment of the Members and their guests. The enforcement of these Rules is for the good of all Members. No Member or guest will be judged on the basis of their race, gender, marital/civil partnership status, age, disability, religion or belief, colour, national origin or sexual orientation.
    2. MEMBERSHIP AND FEE
      1. Members must be at least 18 years of age.
      2. Members shall pay when applicable a non-refundable joining fee at the time of joining at the rate specified.
      3. Membership payments are payable monthly in advance. Members may prepay for annual 12 month membership – the full amount to be paid prior to membership start date. Monthly subscription runs from the 1st of each month. Payment of monthly membership can only be made by Direct Debit from a UK bank account. Monthly instalments and additional monthly charges are debited on the 1st (or next working day) of each month.
      4. Members must keep the Club informed of their up to date contact details.
      5. All communications shall be presumed to have been received within 5 days of the postmarked date, or ‘sent’ date if via email.
      6. All membership fees are reviewed annually usually on the 1st January, members will be notified of any changes by email or by post giving one full calendar months’ notice.
      7. The Company reserves the right to refuse a membership application from any applicant for any reason.
      8. A photo must be taken at the time of joining or before the first entry to the club. Entry will not be permitted without a photo of the member in question.
      9. Membership is non-transferable and non-refundable.
      10. If any monthly fees or charges incurred are not paid when they fall due, the company reserves the right to temporarily refuse the member access to the club until such time as full payment has been made. If any monthly fees or charges incurred are not paid within 30 days after they are due, the club shall have the right to demand payment in full. If such amounts are not paid within 15 days after such demand, membership shall be terminated and the club may pursue any rights it may have to recover the unpaid amount. The Club reserves the right to refer any missed payments to a debt collection agency and will charge you a fee, in respect of failed subscription payments and/or collection letters sent to you in respect of unpaid amounts.
      11. Upon termination of membership, no refund of the admin fee, monthly fees or other fees shall be issued.
      12. To re-join the Club after a termination of membership, any unpaid subscriptions must be cleared, a new membership agreement completed and the prevailing admin fee may be charged.
      13. Should you wish to transfer your membership to a different Third Space club, a transfer fee may be payable and your monthly fee will be amended to reflect your new club’s rate. If you transfer clubs within the first 3 months of your membership, you will be required to pay the difference between the joining fee paid when joining your original club and the prevailing joining free at the club you are transferring to (no refunds payable if this is less than originally paid).
      14. Should you wish to make a change to your membership subscription e.g. upgrade to all clubs, transfer to a different location, downgrade to one club only (where possible), request needs to be submitted by 24th of the month to take effect for the following month.
    3. ANNUAL AND TEMPORARY MEMBERSHIP
      1. Definition of Annual or Temporary Membership – Annual or Temporary Memberships are pre-paid membership options that require a lump sum payment for a set duration, either annually or temporarily. The start and end dates for these memberships are fixed and non-negotiable.
      2. Modifications to Temporary Memberships, such as freezing, upgrading, downgrading, or altering the end date, are not permitted.
      3. Annual Memberships may be frozen, upgraded, or cancelled before the original end date, in accordance with the standard terms and conditions applicable to our monthly memberships.
    4. MEMBERSHIP CARDS
      1. Will be issued to all Members on the provision of ID and must be used to activate the entrance gates at the Concierge to enter the Club.
      2. Cards are non-transferable and must not be lent to, or used by, another person other than the Member. If any person other than Member the card belongs to uses the card, that Member’s membership may be terminated and no refunds of the joining fee or subscription will be given.
      3. The Club reserves the right to charge a fee for replacement cards.
      4. The Company reserves the right to retain any membership card if there has been a defaulted payment by the Member concerned.
    5. GUEST ENTRY
      1. Members may bring guests to the Club on payment of the prevailing guest fee or through the use of valid member credit that can be used towards a guest pass.
      2. Member credit used towards a guest pass will expire within two months of purchase if not redeemed after issue or on termination of membership, unless otherwise agreed.
      3. Complimentary guest passes issued by Third Space may be subject to different terms and conditions, including limits on usage, which will be stipulated at point of issue.
      4. The Club reserves the right to limit times of guest pass usage seasonally. At present, members are restricted to bringing guests to Islington, Wimbledon, Marylebone and Battersea at the following times:
        Islington
        Monday – Friday: 9 am – 3 pm
        Weekend: After 2 pm
        Wimbledon
        Monday – Friday: No restrictions
        Weekend: After 2 pm
        Marylebone
        Monday – Friday: No restrictions
        Weekend: After 12 pm
        Battersea
        Currently not accepting guests.
        Clapham Junction
        Currently not accepting guests.

      5. All guests must be accompanied by an existing member for the entirety of their visit.
      6. All guests are required to register at the Concierge desk, showing valid ID – 1 guest visit constitutes 1 entry to the club.
      7. A guest may use the Club a maximum of 5 times in a consecutive 12 month period. After 5 such visits as a guest, they must become a Member in order to continue using the Club.
      8. Members may bring a maximum of 3 guests per visit, unless arrangements have been made in advance.
      9. All guests must be a minimum of 18 years of age.
      10. Members are responsible for ensuring that their guests are aware of, and adhere to, the Club Rules.
      11. The Company reserves the right to refuse admission to any guest without explanation.
      12. Members can also use their guest credit/pay a guest fee to use other Third Space sites up to two occasions in any consecutive 12 month period.
    6. USE OF FACILITIES AND SERVICES
      Refer to our Club Etiquette page for details on our policies to provide a respectful and inclusive community at Third Space.

      1. Club opening hours are fixed by the Company and are subject to change without prior notice.
      2. Weekend membership (where offered) admission; Friday from 2pm until Sunday closing, plus Bank Holidays.
      3. The Company may at any time close the Club’s premises or any part thereof, without notice, in order to; execute repairs, alterations, accommodate external events, re-decorations or otherwise, to facilitate Club programmes or on certain holidays.
      4. Only members of staff or a nominated 3rd party may provide personal training services within the Club.
      5. Members are requested to arrive at the club for appointments and studio classes 10mins before the official start time. An instructor may refuse entry if a Member arrives later than the start time, or may ask any Member to leave a class if they feel theirs, or another’s, safety or enjoyment is in jeopardy.
      6. Swipe into the club up to 3 hours before the start of a booked class so you are logged as attended. You can check you are marked as attended with the instructor before or after the class.
      7. The Company reserves the right to refuse entry to the Club’s premises at its absolute discretion. Please see our Booking Rules for more information.
      8. It is the Member’s or guest’s responsibility to ensure that they are capable of undergoing any activity within the Club. All activities and treatments are pursued at the Member’s own risk.
      9. Whilst every effort has been made to ensure the accuracy of the class programme, the management reserves the right to cancel or re-schedule classes after publication and at short notice. The programme may be amended during public holidays.
      10. Use of fitness areas and other Club facilities is at the Member’s or guest’s own risk and under their own medical advice.
      11. Proper attire, as determined by the Company, must be worn in the Club – this includes not going topless in the fitness areas or studios. Members are requested to wear at all times appropriate clean footwear in the fitness areas. Appropriate attire must be worn in the restaurant and/or members relaxation area. Footwear must be worn at all times.
      12. Members are requested to shower before entering the sauna, steam room, and/or swimming pool. Shaving or exfoliating within the sauna or steam room is not allowed.
      13. Members should not use the sauna or steam room if they have consumed alcohol, are pregnant, or have high blood pressure, heart conditions or other cardiovascular conditions. It is recommended to use sauna or steam for no longer than 15-20 minutes and to cool down afterwards gradually.
      14. Members should not use CryoSpa or Cryotherapy if they are pregnant, have conditions that can be exacerbated by cold exposure such as Raynaud’s disease, or have high blood pressure, heart conditions or other cardiovascular conditions.
      15. CryoSpa and Cryotherapy must be used under the guidance of a trained Third Space staff member. Members should consult their healthcare provider before trying CryoSpa or Cryotherapy.
      16. Pets are not allowed in the Club.
      17. Smoking is not permitted anywhere in the Club.
      18. Only food purchased from the club should be consumed within the club.
      19. No alcoholic beverages or drugs of any kind may be brought into the Club. Violation of this rule will result in immediate expulsion from the Club and may result in termination of membership.
      20. Members or guests shall not use the Club’s facilities whilst under the influence of alcohol or drugs. In the event they do so, this is entirely at their own risk.
      21. Mobiles may be used for phone calls in all areas of the club excluding wet areas and communal lounges, if done discreetly and in a non-disruptive manner. In the interest of member privacy, video calls are not permitted in the club. Members may only take photos or film using mobile phones on the gym floor, where a tripod is not being used, and it is done discreetly with no other members in shot. The use of professional photography or videography equipment is prohibited. Members are able to utilise any studio space which is not in use for filming. Photography and filming is prohibited in all changing rooms and wet areas.
      22. In the interest of safety, no glass container may be taken into any fitness areas, pool or changing areas.
      23. Be considerate of others; loud or abusive language will not be tolerated.
      24. Club property, including towels, toiletries, etc., is provided by the Club as a courtesy to its Members during Club usage only. Removal of Club property from the premises may result in the termination of membership privileges and legal action.
      25. Member appointments for medical centre, personal training and spa that have been booked require 24 hours’ notice when cancelling. If a Member fails to attend an appointment without providing such notice, the Club reserves the right to charge the full cost of the appointment. Please see our Booking Rules for more information.
      26. Members are required to leave workout areas clean and tidy. As a courtesy to other Members and for health and safety reasons, equipment needs to be replaced in the storage areas/racks provided and equipment must be wiped down after use.
      27. Any unused Personal Training sessions or club credit, cannot be refunded.
      28. Group members may be subject to staggered access to some of our clubs. Further information regarding this can be provided from a member of the team at your current home site.
    7. LOCKERS
      1. Lockers may be available for use by Members and their guests whilst they are on the Club’s premises, subject to availability.
      2. Members must ensure that the contents of the daily lockers are removed at the end of their visit. Only Members who have paid to hire a permanent locker may have personal items left in their lockers overnight.
      3. Permanent lockers remain the property of the club and under no circumstances can be shared with another member. The club reserves the right to open lockers without the member’s permission or the member being present.
      4. Cancellation of permanent lockers must be made via the app by 21st of each month in order for them to cancel on the 1st of the following month.
      5. All bags must be kept in lockers and should not be taken into the fitness areas.
      6. The Company reserves the right to remove the contents from any ‘non-permanent’ locker, which has not been emptied after the visit.
      7. Property cleared from lockers, or left on the premises, will be held for 14 days or 48 hours for wet items. Unclaimed items are donated to charity.
    8. LIABILITY
      1. Neither the Club nor the Company will accept liability for any damage or loss to a Member’s or guest’s personal property brought into the Club’s premises.
      2. All activities and treatments are taken at the Member’s or guest’s own risk.
      3. Neither the Club, the Company nor their servants and agents shall be liable for personal injury sustained by Members or their guests whilst on the Club’s premises, except in so far as it can be proven that this relates to the wilful act, neglect or default of the Company or the Club or any servants or agents.
      4. Members or guests who suffer an accident or injury on the Club premises must report the accident or injury and the circumstances in which it occurred to the Duty Manager immediately following the accident or injury.
    9. MEMBER’S HEALTH AND SAFETY WARRANTY
      1. Members and guests must warrant and represent that they are in good physical condition and capable of engaging in exercise and notify a member of the fitness team immediately in order that Member/guest notes and their programme can be updated or medical clearance obtained. If through injury or other reason, such as pregnancy, this is not the case, they must consult a doctor before engaging in exercise and that he/she knows of no medical or other reason why he/she is not able to engage in active or passive exercise and that such exercise would not be detrimental to his/her health, safety, comfort or physical condition.
      2. The Member shall not use any Club facilities whilst suffering from any infectious or contagious illness, disease or other ailment or whilst suffering from a physical ailment such as open cuts, abrasions, open sores or minor infections where there is a risk that such use may be detrimental to the health, safety, comfort or physical condition of other Members.
      3. We recommend that before using the club you familiarise yourself with the fire exits and emergency routes in case of evacuation. Please note that employees are NOT required to “seek & search” the building. Therefore it is the responsibility of each individual to follow the relevant instructions. Please note lifts will not be operational during an emergency evacuation.
    10. DATA PROTECTION
      1. Your data privacy and security are important to us. Please refer to our Privacy Notice which explains how we collect, store and handle your personal data.
    11. CANCELLATION OF MEMBERSHIP
      1. Monthly membership cancellations must be received by the 1st of each & every month, however cannot be submitted in the same month as joining. A full calendar month’s payment is required which means a minimum of one month and a maximum of 2 months final payment will be necessary depending on the date the cancellation form is received. For example, if a cancellation form is received on the 1st May, only May will be due, however if received on 2nd May both May and June will be due.
      2. Requests to cancel your membership can be made through your Third Space member app, or by emailing the Central Membership team at [email protected]. Remember, cancellations must be received by the 1st of each month and require a full calendar month’s payment. All requests must be in writing, as verbal instructions cannot be accepted. You will receive an email confirmation within two working days – until you receive this email the cancellation will not be valid.
      3. Membership cannot be amended whilst in the notice period. Verbal instructions to amend or cancel a membership cannot be accepted, all requests must be in writing.
      4. Memberships can only be cancelled if subscription collection is active.
      5. All member benefits that are in place at point of termination will be removed from the account and are non-redeemable. Monthly fees and/or prepaid fees are not refundable.
      6. Ex-members wishing to re-join the club will be asked to pay a joining fee plus any unpaid balance from the previous membership.
      7. Please do not send a cancellation form by post.
      8. Members wishing to transfer to a club that is currently in pre-sale can apply for the transfer and secure current rate by emailing [email protected] for more information. Once transfer and membership rate will be confirmed, their membership will be transferred automatically once the club is opened.
      9. Founder members wishing to cancel their membership before their new club opens, can do so with a full refund, less the amount of any credit redeemed and/or any guest passes used (charged at £35 each) this may mean no refund is payable.
      10. The Company shall have the right to suspend or withdraw Club privileges or membership from any Member who, in their opinion, has abused privileges or conducted himself or herself in a manner deemed detrimental to the Club staff or its Members. Such expulsion or suspension shall become effective immediately and no reimbursement will be issued to such Member of the pro-rated portion of their unused monthly fees. There will be no refund of the joining fee.
      11. The Manager or a designee shall have complete charge of the Club whilst on duty. Members may be suspended or expelled from the Club immediately if they display conduct which is, or is likely to be in the sole opinion of the Company, injurious to the character of the Club or the interests of the Members and staff, or if they commit a serious or repeated breach of these Rules, in particular where amounts owing to the Company are unpaid.
      12. An expelled Member forfeits all the privileges of the membership and all rights against the Company. An expelled Member will not be entitled to any refund of their joining fee or subscription and must pay all amounts owed to the Company forthwith.
    12. FREEZING MEMBERSHIP
      1. Request for freezing shall be at the sole discretion of the Club.
      2. A minimum of seven days’ notice must be given to freeze your membership, freezes will not be accepted in retrospect.
      3. You cannot freeze in your first full calendar month of membership.
      4. There is a monthly fee of £35 to freeze your membership, this includes full access to our digital platform, which has over 700 classes and workouts.
      5. Payment will automatically be debited using your preferred monthly payment method instead of your regular subscription, annual members will need to pay in advance by card.
      6. Members can freeze their membership twice per calendar year, minimum one month, maximum three.
      7. Members on maternity leave may freeze their membership FOC for a maximum of 12 months.
      8. The minimum freeze period is one month, however you can unfreeze your membership early, minimum freeze period three weeks, by emailing [email protected]. If you unfreeze early, the freeze fee will still be due for the month you have unfrozen in.
      9. Extension or amendments to your freeze must be made in writing via email or through the website, and count as an additional freeze request.
      10. Freezes can only be processed when a resume date is given.
      11. Monthly subscription payments will recommence automatically at the end of a freeze period without additional communication. Subscription billing runs from 1st of the month. If your membership is frozen on the 1st, you will be debited the freeze fee, and your usual subscription billing will resume when your freeze ends. If your freeze does not coincide with your billing, i.e. your freeze begins on the 5th and you are billed each month on the 1st, you will be charged your standard membership fee and once your freeze starts the overpayment will be placed as a credit to off-set the period from which your freeze ends. Meaning in this example the payment covers the 1st – 4th before your freeze starts and 6th to the end of the month in which your freeze ends.
      12. If your membership is frozen, you may not access the club by using a guest pass, you can unfreeze your membership early, or pay the freeze visit fee which is currently £35.
      13. Your membership needs to be live if you wish to serve notice to cancel your membership.
    13. CCTV
      1. For the safety and security of staff and members, closed circuit cameras (including audio in some concierge areas) operate throughout the Clubs (except in the male and female changing rooms), underwater CCTV cameras are used for the safety of our members in our swimming pools (see our Privacy Notice for more information).
      2. Any unlawful activity within the Club may be reviewed for possible legal action.
    14. STANDARD COMPLAINTS PROCEDURE
      1. Members are encouraged to give feedback, they can either do this by emailing the membership team on [email protected] who will ensure it makes its way to the right person in order to respond, or by speaking to the club concierge team when in the club, who will do the same.
    15. GENERAL
      1. The Company may assign the benefit of the Membership Agreement to a third party at any time without notice to the Member. A person who is not party to the Membership Agreement has no rights under the Contracts (Rights of Third Parties) Act 1999 to rely upon or enforce any term of the Membership Agreement.
      2. The Company may communicate with the Members via electronic mail (“email”) and/or by SMS as set out in our Privacy Notice.
      3. Members are required to leave the fitness floors 20 minutes before closing times if they wish to take a shower. Members are required to vacate swimming pool/sauna and steam room areas 20 minutes before closing times to allow them to take shower. Once a year our clubs may have to close over a weekend for general maintenance.
    16. CLUB CREDIT
      1. Any credit added to a membership account can be redeemed at all Third Space Clubs. It cannot be exchanged wholly or in part for cash. The clubs reserve the right to amend/withdraw the validity of credit without prior notification.
      2. Credit is valid at the following places; beauty treatments and products at our spa, Natural Fitness Food, Personal Training sessions and apparel.
      3. Credit cannot be used against PT by DD subscriptions, however it can be used to purchase top up sessions and packs.
      4. Guest passes can also be purchased with club credit.
      5. Credit cannot be used for the following; physiotherapy and osteopathy at Canary Wharf or against membership subscription.
      6. Credit and Guest Passes are non-transferable.
      7. Member credit is valid for 1 year.
      8. Please mention credit at time of booking a service.
      9. Referral credit: you will receive club credit for every new member who mentions your name at point of joining, however credit is not available in the following circumstances; in conjunction with any other offer, for ex-members re-joining the club within 2 years of leaving, new joiners who were previously in communication with the club, members joining together cannot refer each other and/or if they join on the same day, couples paying only one joining fee cannot refer each other. Memberships must be active for credit to be redeemed. Please note: Credit can take up to 2 weeks to be added to a members account once the new joiner’s membership has become active. New joiners must remain a member for a minimum of two months for credit to apply. Any unused Personal Training sessions or club credit cannot be refunded once you leave the club.

    LITTLE SPACE CLUB RULES

    Definitions:  ‘Adult’ – Third Space member who is at least 18 years of age. ‘Little Space area’ – the area beyond the glass sliding door marked ‘Little Space’.

    1. CHILD MEMBERSHIP.
      Child memberships are available for children age 3 months – 17 years.  Age 0-2 Child membership rate increases on the 1st of the month following the child’s 3rd birthday.  A child membership will end on the child’s 18th birthday.
      Child membership is only available and, can only be live, if linked to at least one live, full-paying Adult member of the Islington Club who is the child’s parent of legal Guardian.  Child membership allows access into the Little Space area of Third Space only (subject to restrictions in clause 4 & 5).   A Child Registration form must be completed by one of the Adults linked to the child membership, for each child membership, before the child can access Little Space.
    2. Supervisor membership
      Supervisor membership is only available, and can only be live, as an add-on to a live child membership. Only one ‘supervisor’ member per family. Holders of a supervisor membership must be at least 18 years of age.
      ‘Supervisors’ are only permitted entry into Little Space when they are supervising the child/children they are linked to. They are permitted to use the family pool when attending a swim course or family swim session with the child. They are permitted to wait in Little Space while the child/children they are linked to are taking part in a supervised activity within Little Space.
      The supervisor card only allows access into the Little Space area of Third Space, subject to the provisions above. Access to the Third Space adult area can be gained by accompanying a member on a guest pass or paying a guest fee. Failure to comply with the supervisor card terms will result in termination of all memberships associated with the card.
    3. Pool usage
      Family Pool: Children age 0-11 must be supervised in the family pool by an Adult. One Adult must not supervise any more than three children at a time. ‘Supervisor’ members are only permitted to use the family pool when attending a pre-paid ‘parent and baby’ swim course with their linked child.
      Adult Pool: Children aged 0 – 11 years old can only use the adult pool if they are taking part in a swimming lesson taught by a Third Space swimming instructor. Lessons will be at designated times set by the Club.
      Children aged 12-17 years old are not permitted in the family or adult pool.
      Children who are not toilet trained must wear swimming nappies when using the pool.
    1. Access and supervision
      An Adult is only permitted access to Little Space if they have a child member who is linked to their account.
      Children of all ages are only permitted entry to Little Space if accompanied by an Adult or ‘supervisor’ member linked to their membership.
      Children aged 12-17 are permitted in the Little Space lounge and changing area only.  Children in this age group are not required to be supervised by an Adult or ‘supervisor’ whilst in Little Space.
      Children aged 11 and under must be supervised by an Adult or ‘supervisor’ (linked to their membership) while in Little Space, unless they are attending a signed in, supervised activity.
    2. Behaviour
      While using Little Space, children must not put themselves or other people in danger or prevent others from enjoying Little Space or its facilities. If your child is behaving unreasonably, we have the right to speak to you, your child, or their supervising adult, about the behaviour.
      We will arrange to meet with you to discuss the issue if your child continues to behave unreasonably, whether on one visit to the club or over a number of visits to the club. If we cannot sort out the issue during the meeting, we have the right to suspend the child from using Little Space.
      If we suspend your child from using Little Space and you wish to appeal against this, you may appeal in writing to the Managing Director at our Head Office.
    1. Guest Passes
      Little Space Guest Passes cost £15 per visit for children 0-3 and £35 per visit for children 3-11.
      The Guest Pass must be linked to an Adult member of Third Space and that Adult member must have a child member who is linked to their account (in order to have access to the Little Space area, as per clause 4).  The same child can only attend on a guest pass 5 times per year. Children on guest passes will not be able to book into classes.  A Child Registration Form must be completed by the guest’s parent/carer prior to their guest visit.
    1. Health & Safety
      Unless you instruct us otherwise on the Child Registration Form, we will assume that all members included on the ‘family’ membership (including any ‘supervisor’) have permission to collect the child from activities.  We reserve the right to check ID/details against our membership system prior to pick up.
    1. Photographs and videos
      You must not take photographs or videos of any kind in the Little Space facilities including, but not limited to; the changing area, pool, toilet, lounge or crèche facility.
      If you are seen to be taking photographs or filming, we may ask you to show us any images which you have taken within Little Space or the Club and to delete them if appropriate.  If a member of our team asks you to stop filming or taking photographs you must do so.
    2. Food and drink
      Only food and drink bought at Natural Fitness Food can be eaten in Little Space.
    3. Little Space credit: Little Space credit added to a child’s membership account can be redeemed at Third Space Islington only. It cannot be exchanged wholly or in part for cash. The club reserves the right to amend/withdraw the validity of credit without prior notification. Credit can be spent on the following: Crèche, Guest passes, Martial arts, Swim, Ballet or any associated costs (uniform etc). Credit cannot be used against Membership or Swim Direct Debit subscriptions, however, it can be used to purchase swim top-up sessions. Credit cannot be used against a membership subscription. Credit is non-transferable. Little Space credit is valid for 1 year. Please mention credit at the time of booking a service, credit is redeemed via the child’s membership card. Little Space credit is received upon referring a junior member who joins with a new adult member, or as part of a marketing promotion.
  • Course details

    • The Swim School operates a continuous assessment programme throughout the school year. Whilst every effort is made to ensure continuity of teacher, this cannot always be guaranteed however our teachers will have access to all to the continuous assessment achievement records of all swim school participants.
    • Parents or guardians are not permitted to leave the club at any time during their child’s swimming lesson. It is important for parents and guardians to refrain from using their phones to take pictures or videos.
    • Swimming courses are provided in accordance with the Swim England guidelines.

    Payment Terms

    • Sessions must be paid for in advance by DD Subscription or annual payment of 42 classes, either at concierge or via Swim manager
    • 3 month minimum term
    • Top up private sessions can only be purchased if you have a valid Swim by DD Subscription or during you annual payment.

    Direct Debit Terms

    • Our swim school direct debit is calculated based on 42 classes over an 11 month period running from 1st Jan– 31st Dec. No direct debit will be taken in August but your swim school membership will run continuously until you request to cancel – giving one full and final calendar month notice running from the 1st. Cancellation in writing (email to the Swim Manager).
    • Should you cancel at any time during this fixed rate period – sessions run from your requested start date will be charged at the full swim class rate of £22 and £12 for Adult and Child lessons. This may result in a balance payable or refund due, depending on the amount debited to date. Your final notice direct debit will be adjusted accordingly. E.g. submit cancellation on 31st May, June (notice) direct debit may be more or less than usual to take into account sessions run up until the end of June.
    • If we are unable to collect your swim school payment via direct debit, you will incur a balance on your account for the month which will be payable prior to attending any further swim school sessions.
    • If your swim school subscription is not paid by the end of the month it relates to, you will be removed from the course. Should you wish to re-enrol at a later date, any outstanding balance must be paid.
    • If you cancel your membership or your membership is terminated due to arrears, you will not be refunded for any unused sessions.

    Session Attendance Terms

    • It is not possible for you to cancel or rearrange any group or private lessons. Any group or private lessons not attended as part of a swimming course will not be refunded or rearranged.
    • If you need to change day and time of your lessons please contact the Swim Manager.

    Health

    • Prior to or during your/your child’s lessons, health concerns may arise that could affect your/your child’s ability to continue safely with the lessons. In these circumstances, Third Space reserves the right to require you to produce a note/letter from your/your child’s doctor, physiotherapist or other appropriate health professional before you/ your child continues with the course of swimming lessons. In the event that Third Space determines (in its sole discretion) that health concerns mean that you/your child should not start or continue with the swimming lessons, any lessons paid for but not taken will be refunded.

    Swim Lesson Rules

    We are very pleased to have a dedicated swimming pool for our junior members, a place for them to learn to swim and love exercise and fun in the water.

    To ensure that your children are safe at all times we have outlined below the areas where we need to have parent/carer help and support during swimming lessons and also your much loved free time in the swimming pool.

    We have tried to cover the key areas where it is important to have understanding and cooperation from you, as follows:

    • We do not allow the use of mobile phones, cameras on poolside or in the changing rooms at any time.
    • All children must be changed for their swim time in the family designated (Little Space) changing rooms with their parent/carer supervising them.
    • Swimmers in the main pool must wear Little Space swim caps.
    • Parent/guardians please refrain from sitting in the main pool while swimming lessons are taking place. You will be able to view the swimming lessons in the adult lounge.
    • If your child is 3-11yrs we encourage you to leave poolside during the lesson, this is to reduce noise levels and any distractions on poolside.
    • Swimming Lessons – All children during their lesson are the responsibility of the instructor at all times and will continue to be so until signed back to the care of the parent/designated carer at the end of the swimming lesson.
    • Please ensure that you take your child to the toilet before their swimming lesson to minimise the need for your child to leave the lesson midway through and loose valuable lesson time.
    • Children under 3 should wear a double nappy system for their swim class and during family swim – a disposable or reusable swim nappy, with a snug-fitting neoprene nappy on top with close- fitting leg and waist ribs.
    • If your child is aged 8yrs plus they will be allowed to go to the toilet and return without notification of the parent, they will however be supervised to the entrance of the facilities and back by a DBS cleared member of the team.
    • Please note for children over the age of 8 years – if you require your child to be accompanied to the toilet please ensure the swim instructor is aware of this and they will be able to notify you if your child needs to visit the toilet.
    • At the end of all lessons your child will be handed back to you directly, please do not take your child from the lesson until the coach has signed them out to ensure the safety and well-being of the children at all times.
    • Please be aware that all parents/designated must remain in the club while their children are attending activities in Little Space.
    • If your child needs to leave the class for any reason they must stay with the instructor until their parent/guardian is available to collect them and the children cannot leave the activity on their own at any time.
    • To ensure you are aware our swim instructors and lifeguards are not authorised to take a child to the toilet under normal circumstances. However, the welfare of children is our priority, therefore, in the case of emergency or where the parent cannot be found, the child can be escorted to the toilet by an employee who are DBS checked and has completed the E-learning module for Safeguarding. In this instance, the parent will be notified on collection.
    • The Martial Arts and Ballet courses operate on a termly basis with a break for the half-terms. Whilst every effort is made to ensure continuity of teacher, this cannot always be guaranteed.
    • Parents or guardians are not permitted to leave the club at any time during their child’s session. It is important for parents and guardians to refrain from using their phones to take pictures or videos.

    Payment Terms

    • Sessions must be paid for in advance at concierge.

    • Employee Code of Conduct: Our code makes clear to employees the actions and behaviour expected of them when representing our organisation. We strive to maintain the highest standards of employee conduct and ethical behaviour
    • Whistleblowing / Speak Up Policy: We encourage all employees, suppliers, and contractors to report any concerns related to modern slavery and human trafficking. All reports are treated seriously and investigated promptly.
    • Recruitment/Agency workers policy: The majority of our Recruitment is handled by our internal recruitment team, who follow robust processes throughout selection and onboarding. When required, we use only specified, reputable employment agencies to source labour and always verify the practices of any new agency it is using before accepting workers from that agency.
    • Employee Training: We have introduced a new, mandatory Modern Slavery Training Module for new starters, within our wider human rights/ethics/ethical trade training programme.

    FUTURE ENDEAVOURS

    We are continuing to look for ways to improve our existing practices, to ensure that Third Space is doing everything within its power to eradicate Modern Slavery and Human Trafficking practices within its ecosystem, both now and in the future.

    We have partnered with various technologies:  MyZone, Inbody and MyWellness to offer members the opportunity to enhance their training experience.  Use of these services is optional and you are in control of your data via use of the APP (see the service provider’s privacy notice for more information).  Third Space can only view the data you give us permission to and communicate with you via the APP (if permission is given) eg to invite you to join club challenges.

    Special categories of personal data 

    In the course of providing services to you, we may collect information that is considered “special categories of personal data” eg completion of a health questionnaire prior to a spa treatment. We only collect this information where you have given your explicit consent, it is necessary to protect your vital interests, or you have deliberately made it public. If you do not allow us to process any special category personal data, this may mean we are unable to provide all or parts of the services you have requested from us.

    How and why we use your personal data

    To fulfil contractual obligations and provide our services to you

    Club membership is a contract between Third Space and each individual member, so we require your personal data, photo ID and to take a picture for our database in order to issue you a membership card unique to you, to allow you club access and enable us to verify your identity when necessary.

    In the case of spa bookings, we will store information regarding the treatments you have and any special requests in order to tailor your treatments and ensure we are adhering to health and safety and insurance requirements.

    To communicate with you and manage our relationship with you

    We may need to contact you by email, phone, letter and/or SMS for administrative, customer service or operational reasons, please be aware that these communications are not made for marketing purposes and as such, you will continue to receive them even if you choose not to receive marketing communications.  Examples of these include; changes to pricing structure or unplanned club closures.

    We will also use your personal data to contact you after you have visited the club as a guest, made a booking for; a class, our restaurant, or spa, sent us a request, filled in a web-form through our website or contacted us on social media.

    Your opinion is very important to us, so we may send you an email or SMS to seek your feedback.

    We will use the communications you exchange with us and the feedback you may provide in order to manage our relationship with you as our customer and to improve our services and experiences for other members and guests.

    Having a named company contact for our suppliers and/or corporate accounts means we can communicate more efficiently with you for payment purposes or with any account queries.  As a named company contact at a company in the vicinity of one of our sites means we can liaise with you directly to negotiate benefits and offers exclusive to your employees and keep track of any negotiations.

    If you attempt to join online or make a booking, then you leave our website before this has been finalised, we may contact you in order to help you easily complete your transaction.

    To personalise and improve your customer experience

    We may also collect information on how you use our website, which pages of our website you visit most, which classes you attend/book and what services you use/purchase, in order to understand what you like. We may use this information to tailor the content and offers that you see on our website and to send you relevant messages that we think you might like.

    To raise awareness and enable you to share your achievements with others, we post photos and/or videos on social media, of any special events or challenges that we organise.  Please be aware that if you take part, you may be included in these.

    To inform you about our news and offers that you may like

    As part of our service, we will email you with club news and offers that we have negotiated for our members and guests.  If you do not wish to receive this additional information, you can; opt out at point of sale, visit the member area and amend your mailing preferences at www.thirdspace.london, choose the ‘opt out/unsubscribe’ option present on our email, reply STOP or UNSUBSCRIBE to any email/text contact.

    As a previous member, we may contact you up to 24 months after your membership end date, if we have a re- joining offer exclusive to previous members.

    If you have not made a purchase from us, we will only contact you via SMS/email/phone with updates, such as; offers and events IF you have consented to this (with the exception of direct response to a query). You can ‘unconsent’ to contact at any time choosing the ‘opt out/unsubscribe’ option present on our email, reply STOP or UNSUBSCRIBE to any email/text contact.

    To improve our services, for administration purposes and to protect our business interests 

    The business purposes for which we will use your information include accounting, budgeting, billing and audit, credit or other payment card verification, safety, security, statistical and marketing/profiling analysis, systems testing, maintenance, ordering of supplies, planning and development.

    To comply with any other legal obligations.

    *Other – CCTV & Thermal Imaging cameras

    Third Space have CCTV installed in public areas (not changing areas).  Recordings are stored on a secure server for a maximum of 2 months for the purpose of security.  Third Space also operates underwater CCTV in our pools.  An alarm will sound at concierge if lack of movement is monitored whereby a live feed on screen (close sight only) can be viewed at concierge – our lawful basis for this processing is; to protect the vital interests of users, along with personal protection purposes.  Underwater CCTV footage will be stored for 2 weeks on a password protected local hard drive, kept on site in a locked cabinet.  Pool side signage will be introduced when CCTV commences operation. Third Space also operates thermal imaging cameras at the entrance of the club. These will check a visitors body temperature and sound an alarm if a high temperature is detected – our lawful basis for this processing is to; protect the vital interests of our users, along with personal health protection purposes. Thermal imaging data will be stored for 30 days on a password protected central server.

    Sharing your personal data

    Your personal data may be shared with other companies within our Group. It may also be disclosed to a third party who acquires us, acquires a member of our Group or substantially all of our assets.

    We may also share some of your personal data with, or obtain your personal data from, the following categories of third parties:

    • Your employer or health club benefits provider, if your membership is via a corporate scheme and Third Space invoice them for your membership subscriptions.
    • An individual who pays for your membership on your behalf – to administer your membership on an ongoing basis
    • Postal or digital mailing company/app – to send out communication to you on our behalf.
    • Specialist survey company/app – to send out surveys to you on our behalf (you are not obliged to respond to them).
    • Internal independent service providers eg Golf Lab, Spa Therapist or Third Space Medical – so, on your request, they can provide their services to you.
    • Bank/credit or debit card companies – in order to process your payments for services.
    • Credit control company – with prior notification, should contracted membership subscriptions or payment for goods or services become overdue (as per our T&C’s).
    • Web servers/website providers – hosting/storing some personal data.
    • IT support company – able to access some information to assist with IT issues.
    • Table/spa booking websites – our restaurant (The Pearson Room) and/or spa are passed your details if you book a table or treatment via their website
    • Social media site – hashed email matched to account to create custom audience file
    • Till and booking apps
    • Profiling company – some of your data may be temporarily shared to ensure relevance of marketing communication and profiling to enhance our targeting

    In addition to the categories of recipient listed above, we may disclose your personal data when this is required by the law of any jurisdiction to which Third Space may be subject.

     

    Child Membership (available Islington only) – we collect a child’s personal data from an adult member with parental responsibility for them.  We will assume all members linked to the child’s head member (parent paying for the memberships) are permitted access to the information on the child’s membership account; details of the child’s membership subscription, any ancillary services eg swim school, visits, DOB and contact details (as per head member account), plus any non-sensitive notes.  A child registration form must be completed for each child, which contains health questions and any special requirements.  The child registration forms are stored on a secure server on site, with limited access rights – a symbol on the membership account will denote if the Little Space team need to access information on this server prior to the child taking part in any activities.  Any other sensitive documents such as care plans or accident reports, will be stored in the same access controlled area. Our Little Space crèche is operated by Tinies.  As an OFSTED registered childcare provider, they may be required to process crèche user’s data that Third Space do not need sight of, for instance; safeguarding paperwork.  Please see Tinies Privacy Notice for information on how this data is processed and why. We will not take your child’s email address or attempt to contact child members directly.

     

    Data transferred outside the EU

    Some of the companies we use for our apps are situated in third countries; therefore some data may be transferred to countries outside the European Economic Area (EEA).  Transfers of data to these companies are either on the basis of adequacy, or subject to appropriate safeguards.

    Security of your personal data

    We are committed to taking appropriate technical and organisational measures to protect your personal data against unauthorised or unlawful processing and against accidental loss, destruction or damage to personal data.

    As described in this Privacy Notice, we may in some instances disclose your personal data to third parties. Where Third Space discloses your personal data to a third party, we require them to have appropriate technical and organisational measures in place to protect your personal data; however in some instances we may be compelled by law to disclose your personal data to a third party, over which we have limited control.

    We use cookies when you visit our site.     *One of the type (2) cookies we use is ‘Hotjar’.  We use Hotjar in order to better understand our users’ needs and to optimize this service and experience. Hotjar is a technology service that helps us better understand our users experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behavior and their devices (in particular device’s IP address (captured and stored only in anonymized form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), preferred language used to display our website). Hotjar stores this information in a pseudonymized user profile.     • Marketing cookies* – used to track visitors across websites. The intention is to display ads that are relevant and engaging for the individual user and thereby more valuable for publishers and third party advertisers. They also limit the number of times that you see an ad and help us measure the effectiveness of our marketing campaigns.

    *The marketing cookies we use on the Third Space website are; Facebook and Google. Facebook marketing cookies on our site let Facebook know that you have visited the Third Space website; this allows Facebook to match your user info to your Facebook account (where applicable) and allow targeted advertising from Third Space.   We also use our Facebook cookies to review how our generic adverts on Facebook are performing – to log a user reaching our website via clicking on a Third Space advert on Facebook.  As well as Facebook, we use Google AdWords to re-engage visitors that are likely to convert to members based on online behaviour across websites.
